Updated requirements for ELOM trainers and assessors

All ELOM assessors and trainers need to be legally compliant to work with children. From July 2024, in order to become an accredited assessor or trainer, and to maintain accreditation status, the following 3 checks are required.  

1. Biometrically-verified criminal record check
  • All assessors/trainers need to supply a clear criminal record;
  • This check is to be updated annually to maintain accreditation; 
  • This check should be submitted before attending/hosting training.
2. National Register for Sex Offenders
  • In terms of the Sexual Offences and Related Matters Amendment Act, No. 32 of 2007 (SORMAA), we are required to verify that a potential assessor’s/trainer’s name does not appear in the National Register for Sex Offenders (NRSO), before we start training.
3. National Child Protection Register
  • In terms of section 126 of the Children’s Act, 2005 (Act 38 of 2005), we need to establish from the Registrar of the National Child Protection Register whether or not a potential assessor’s/trainer’s name is on Part B of the National Child Protection Register.

This means that before you can start training, and in order to retain accreditation status, you need to submit the following:

  1. A biometrically verified criminal record check confirming that you do not have a criminal record;
  2. Proof that you have applied to have your name checked against the National Register for Sex Offenders; and
  3. Proof that you have applied to have your name checked against the National Child Protection Register.

If your organisation already these checks in place, you can leverage them for the ELOM assessor/trainer requirements. Please refer to the table below

Affiliation of assessors/trainersRequirement 
Assessors/trainers who are affiliated with an organisation that has a child protection policy in place, and screens their staff (including the candidate assessor/trainer) for the three required checks:Submit proof of these checks not more than 12 months old from the start of training. At a minimum, the two registers must have been applied to, and the criminal record check must be completed and clean.
Assessors/trainers who are not affiliated with an organisation that has a child protection policy in place, and screens their staff (including the candidate assessor/trainer) for the three required checks:Submit proof of these checks being done within 2 weeks from the date of their application for training. At a minimum, the two registers must have been applied to, and the criminal record check must be completed and clean. 

Special process for accredited assessors and trainers

We have made an arrangement with The Guardian organisation to manage checks for trainers and accredited assessors, reducing the administrative and financial burden. DataDrive2030 will cover the costs of obtaining all 3 checks (excl. courier fees) for all existing assessors and trainers before 15 August 2024.

Assessor and trainers, please follow the following steps BEFORE 15 August 2024:

STEP ONE: Update your details on the DD2030 system. You should have been emailed your token ID to identify yourself on our system. If not, please email as*******@da***********.za  

STEP TWO: Submit this short booking form with The Guardian. 

Please answer the following for Questions 9, 10 and 11 when completing the online booking form.

Question 9: What sports club/ school / organisation are you affiliated with? DataDrive2030
Question 10: Can we link your SafeGuard profile to your federation / school / organisation for them to be able to see and access your certificate? Yes
Question 11: Who will be paying for your clearance? My Federation / school / organisation will be paying

STEP THREE: Following the booking form submission, the Guardian will share the appropriate forms for completion. You will need to: 

  • Print out these forms
  • Fill out these forms in ink (i.e. not digitally)
  • Prepare 2 certified copies of your ID (certified within the last 3 months and with original ink stamp). Make sure to include both sides of the ID,  if a Smart Card ID.

STEP FOUR: Scan the set of documents and email to the Guardian to confirm all documents have been completed correctly. 

STEP FIVE: Once confirmed as correct, courier the physical documents (at your own cost) to the Guardian and follow their instructions. 

STEP SIX: Take your physical identity document / passport to the appropriate venue at the agreed time for your fingerprints to be verified. You will not be required to pay for these checks. The results will be shared over email with you and DataDrive2030. 

Note: Please keep in mind, by engaging with the process outlined above assessors / trainers will be consenting to have their name and ID shared with the Guardian.
