About the role
The Office & Operations Unit Lead is responsible for setting the strategic direction and ensuring the effective delivery of office operations across our Cape Town and Johannesburg offices.
This is a senior management role that combines strategic leadership with hands-on execution. We are looking for someone who can build systems, improve processes, manage people, and step into implementation when needed.
You will lead the Office Operations Unit, directly managing the Office Operations Administrator and Office Cleaner, while ensuring our teams have the environments, systems, tools, and support they need to do their best work.
This role is ideal for a mature operator who is equally comfortable thinking strategically and rolling up their sleeves to get things done.
Key responsibilities
⌦ Lead Office Operations and Facilities Management
Ensure both offices are safe, functional, professional, and fit for purpose through effective facilities, maintenance, security, and landlord management.
⌦ Manage Workplace Infrastructure and Digital Enablement
Oversee workplace technology, systems access, software licensing, IT support, and digital tools to support effective and secure ways of working.
⌦ Drive Asset and Inventory Management
Manage the full lifecycle of organisational assets, maintain the Asset Register, conduct audits, and oversee procurement, allocation, recovery, and replacement planning.
⌦ Oversee Procurement, Logistics and Administrative Services
Ensure efficient procurement processes, supplier management, office supplies, courier services, and administrative systems.
⌦ Lead Travel, Events and Workplace Experience
Oversee organisational travel, accommodation, internal events, meetings, and workplace engagement initiatives that contribute to positive employee experiences.
⌦ Manage ELOM Kit Operations
Ensure the effective production, storage, inventory management, distribution, tracking, and replenishment of ELOM assessment kits.
⌦ Drive Operational Excellence and Business Continuity
Develop and improve operational systems, manage risks and compliance requirements, and ensure organisational resilience.
⌦ Support People and Culture
Partner with HR on onboarding, offboarding, employee administration, policy implementation, performance processes, training coordination, and employee relations support.
⌦ Lead and Develop the Team
Provide leadership, coaching, and support to the Office Operations Administrator and Office Cleaner, fostering accountability, service excellence, and high performance.
⌦ Enable Organisational Collaboration
Work closely with teams across the organisation to support strategic initiatives and ensure alignment with DataDrive2030’s values and ways of working.
Qualifications, experience and skills
Required qualifications

Bachelor’s degree and/or relevant certifications in Business Administration, Operations, or a related field.
Experience
-
5–8+ years’ experience in office operations or workplace management.

Management or senior management experience.
-
Experience integrating operational oversight with people practices and compliance in a small business or NGO environment.

Experience building or strengthening systems, processes, and controls.
-
Experience managing suppliers, contracts, budgets, and operational risk.

Demonstrated people management experience.
-
Experience managing operations across multiple sites.
-
Experience overseeing logistics for high-profile events with more than 50 attendees.
Experience within a non-profit or mission-driven organisation will be advantageous.
